How to Move Your Office Without Losing a Business Day

An office move has one metric that matters: how many working hours your team loses. Run it well and the answer is zero — the office closes Friday at 5 and opens Monday at 8 in a new address. Here's the playbook we use for Orange County businesses.

T-minus 3 weeks: map the destination

Before a single box is packed, produce a numbered floor plan of the new space: every desk, office, and storage area gets a zone number. This map is the nervous system of the whole move — everything that leaves the old office is labeled to a zone on it.

T-minus 2 weeks: coordinate both buildings

• Book freight elevators and loading docks at both ends for moving weekend.
• Confirm COI requirements with both property managers.
• Schedule your IT/internet cutover for Friday evening — not Monday morning.
• Order door keys/fobs so employees can actually get in on day one.

T-minus 1 week: pack by person, label by zone

Each employee packs their own desk into 1–2 crates labeled with their name and zone number. Shared equipment gets packed by the move team. Monitors are wrapped individually; computers travel boxed with their own cables — photograph setups before unplugging and reconnection becomes a five-minute job.

Moving weekend: the sequence

• Friday PM: crew loads in reverse-priority order — the things you need first load last.
• Saturday: furniture reassembled at destination, boxes delivered to their zones.
• Sunday: workstations reconnected, common areas set, walkthrough with your coordinator.
• Monday 8 AM: your team walks into a working office. Coffee machine first, always.

The mistakes that cost business days

• No zone map — boxes land 'somewhere' and Monday becomes a scavenger hunt.
• IT cutover scheduled during business hours.
• Assuming the freight elevator is 'probably free' on Saturday.
• Letting the move stretch across a workweek instead of compressing it into a weekend.
